Most sellers set up their shop policies once, copy something vague from another shop, and never think about them again. That's a mistake. Clear, specific policies for digital downloads reduce disputes, set accurate expectations, and protect you when something goes wrong.
Why Policies Matter More for Digital Products
Physical product sellers deal with shipping delays, damaged items, and returns. Digital download sellers deal with a different set of issues: files that won't open, buyers who don't read the description, commercial use confusion, and refund requests for products that have already been downloaded.
The difference is that digital files are delivered instantly and can't be "returned." Once a buyer has downloaded your SVG, they have it — regardless of whether they leave the transaction. This makes clear policies essential, not optional.
A well-written policy page doesn't just protect you legally. It reduces the number of disputes you have to deal with in the first place, because buyers who read your policies before purchasing arrive with accurate expectations.
Refund Policy: How to Word a No-Refund Policy Clearly
Most digital download sellers operate a no-refund policy, and for good reason — a file that's been downloaded can't be un-downloaded. Etsy allows this, as long as it's clearly stated.
The key is to word it plainly and without sounding aggressive. Here's a template:
Due to the instant digital nature of this product, all sales are final and I am unable to offer refunds or exchanges once a file has been downloaded. If you experience any technical issues with your files, please message me before opening a case and I will do everything I can to help.
Notice what this does:
- States the no-refund policy clearly and explains the reason (instant digital delivery)
- Doesn't leave buyers feeling abandoned — it directs them to message first
- Positions you as helpful and reasonable, not defensive
If a buyer contacts you with a genuine problem — a corrupted file, a missing format, a format that doesn't work with their software — resolve it generously. Your policy protects you from bad-faith refund requests, not from being a decent seller.
Licence Policy: Define It Plainly
Licence confusion is one of the most common sources of disputes and negative reviews for SVG sellers. Buyers often don't know the difference between personal use and commercial use, or they assume commercial use is included when it isn't (or vice versa).
State your licence terms in plain English, not legal jargon. For most SVG sellers, one of these two statements covers it:
Personal use only:
This file is for personal use only. You may use it to create physical or digital items for yourself, friends, and family. You may not sell, distribute, or reproduce the file itself, or sell items made using this design.
Personal and commercial use included:
This file includes both personal and commercial use rights. You may use it to create and sell physical items (cards, t-shirts, mugs, etc.) in unlimited quantities. You may not resell, share, or redistribute the digital file itself.
The most important line in either version: you may not resell the file itself. This is the boundary that matters most for digital download sellers, and it's the one buyers most commonly misunderstand.
What the Customer Gets: Be Specific
Your policies should spell out exactly what a buyer receives when they purchase. Don't make them hunt through your listing descriptions to find this — put it in your policies too.
A simple, clear statement:
All digital downloads include the following file formats unless otherwise stated in the individual listing: SVG, DXF, EPS, PDF. Files are delivered as a ZIP archive via Etsy's automatic download system. No physical item will be shipped.
This removes three common sources of confusion in one paragraph: what formats are included, how delivery works, and that nothing physical is coming in the post.
After-Purchase Support: Set Expectations
Buyers sometimes need help after purchase — a file won't unzip, they can't find their download, or they're not sure how to use the SVG in their software. Most of these issues are quick to resolve if you respond promptly.
Be clear about what support you offer and what falls outside your scope:
I'm happy to help with file access issues, missing formats, or technical problems with the files themselves. I'm not able to provide tutorials on how to use design software, but I can point you toward helpful resources if needed.
This sets a reasonable boundary without leaving buyers feeling unsupported. It also manages the expectation that you're not a Cricut tutorial service — a distinction that matters when you're selling at volume.
